With so many computer and big box stores out there, why would you need a purchasing department to satisfy your hardware and software needs?

Everyone has unique skills and abilities.  People tend to work at organizations where they can use their talents to their best effect.   Working with technology is no different.  People that work at a technology company work there because they enjoy technology, they understand technology, and they are skilled at working with technology.  There are lots of great people in this world that don’t give a second thought about the workings of their computer, their network infrastructure, the compatibility of their hardware and software, the security of their network, the necessity of backups, and much more… and they shouldn’t – if they know the right people.  For example, if someone is really good at negotiating new construction business, but they spend too many hours trying to install new software or researching what laptop to buy, that person is wasting time on the wrong thing and wasting company dollars on jobs best done by others.  That is why technology providers exist.  

What an Outsourced Purchasing Department Offers

The point of a purchasing department at a technology company is to make sure clients get the best possible solutions that will meet their needs.  Professional purchasers work with technicians who know your environment to come up with the very best hardware solutions.  This saves time for the client and the technician.  Instead of having the technician weigh all the pros and cons and research the best available options or features of needed items, the technician can rely on the experience of the purchaser who does this every day and is already familiar with the ins and outs of buying new hardware and software.   A purchaser will work with a technician, or directly with you, the  client, to determine:

  • The options you need and recommendations for a specific product
  • Your needs for quality versus expense
  • Compatibility with existing technology, and between various types of hardware and software
  • Licensing requirements
  • Rate negotiations
  • Special considerations, such as charity pricing, special deals or new rates

Let’s look at a real-life PeaceWorks’ story:

We have a large not-for-profit client that purchased Microsoft Office 365 about a year ago.  They worked with their technician and the PeaceWorks’ purchasing department to understand what they needed.  They applied for a charity status from Microsoft and, after a few months of waiting, were granted it.  They received their licenses and paid a fair price for a charitable organization.  Months later, the same technician worked with our purchasing department to buying licenses for another client and discovered 2 things:

  1. Microsoft simplified their charity application process – it is now a 2 week approval process for a 1 year contract.
  2. Microsoft reduced their prices significantly.
